Map CV intake through forms, email, recruiters and referrals. Assess recruitment for a current role separately from retention in a future talent pool.

Our recommendation is to review one closed vacancy: locate copies, interview notes and continuing access. Define retention by purpose and data type, and align the candidate notice with actual practice. A general policy is less useful if hiring managers retain unmanaged copies.
